Welcome to Future Mind Events (“Company”, “we”, “our”, or “us”). These Terms of Service (“Terms”) govern the use of our website, event staffing services, hospitality services, promotional staffing, photography and videography services, and all related offerings.

By accessing our website or engaging our services, you agree to be bound by these Terms.

The Company provides professional event staffing and event support services throughout the United Arab Emirates, including but not limited to:

  • Promotional Staff
  • Product Demonstrators
  • Product Sampling Staff
  • Mall Activation Staff
  • Roadshow Staff

Hospitality Services

  • Waiters and Waitresses

All services are subject to availability and acceptance by the Company.

  1. BOOKING PROCESS

A booking request may be submitted through our website, email, telephone, messaging platforms, or other approved communication channels.

A booking shall only be considered confirmed when:

  • The client receives written confirmation from the Company
  • Any required deposit has been paid
  • Event requirements have been approved by the Company, and Staffing availability has been confirmed.

The Company reserves the right to refuse any booking request.

  1. CLIENT RESPONSIBILITIES

The client agrees to provide accurate information including:

  • Event name
  • Event location
  • Event dates and times
  • Number of staff required
  • Staff duties
  • Uniform requirements
  • Health and safety requirements
  • Venue access instructions
  • Parking and logistical information

The client is responsible for ensuring that all information provided is complete and accurate.

  1. STAFF DEPLOYMENT

The Company will make reasonable efforts to provide staff matching the client’s requested profile, language requirements, experience level, and event objectives.

However:

  • Specific individuals cannot be guaranteed unless expressly agreed in writing.
  • Staff may be replaced due to illness, emergency, scheduling conflicts, or operational requirements.
  • The Company reserves the right to assign replacement personnel when necessary.

All staff remain under the administrative management of the Company.

  1. EVENT HOURS AND OVERTIME

Event schedules must be confirmed before deployment.

If an event exceeds the agreed booking duration:

  • Overtime charges shall apply.
  • Overtime rates may differ from standard hourly rates.
  • Overtime must be approved by the client representative on-site.

The Company reserves the right to remove personnel if overtime approval is not obtained.

  1. PAYMENT TERMS

Deposits

  • A deposit may be required to secure staffing and service availability.

Final Payment

Unless otherwise agreed in writing:

  • Full payment must be completed before the event date.
  • Corporate accounts may be granted invoice-based payment terms.

Late Payments

Late payments may result in:

  • Service suspension
  • Additional charges
  • Collection procedures.

The client is responsible for all applicable taxes and government charges.

  1. CANCELLATIONS

Client Cancellations

Cancellation charges may apply as follows:

Notice Period | Cancellation Fee

More than 14 days | Deposit may be retained

7–14 days | Up to 50% of booking value

Less than 7 days | Up to 100% of booking value

Company Cancellations

If circumstances prevent the Company from fulfilling a booking, the Company may:

  • Provide replacement personnel;
  • Reschedule services; or
  • Refund any prepaid fees for unavailable services.
  1. EVENT CHANGES

Changes to the following may result in additional fees:

  • Event dates
  • Event hours
  • Event location
  • Staff quantity
  • Staff duties
  • Uniform requirements
  • Venue requirements

All modifications must be approved by the Company.

  1. PHOTOGRAPHY AND VIDEOGRAPHY SERVICES

Where photography or videography services are provided:

  • Deliverables will be outlined in the booking agreement.
  • Delivery timelines may vary depending on project scope.
  • Raw files remain the property of the Company unless otherwise agreed.
  • Edited content will be supplied in the agreed format.

The Company retains copyright ownership unless rights are specifically transferred through a written agreement.

  1. INTELLECTUAL PROPERTY

All content appearing on our website, including:

  • Logos
  • Branding
  • Graphics
  • Images
  • Videos
  • Text
  • Designs
  • Marketing materials

are owned by or licensed to the Company.

No content may be copied, reproduced, distributed, or modified without written permission.

  1. CONFIDENTIALITY

Both parties agree to maintain the confidentiality of non-public information received during the business relationship.

Confidential information includes:

  • Business information
  • Marketing plans
  • Customer information
  • Event details
  • Pricing information
  • Operational procedures

Confidentiality obligations survive termination of services.

  1. CLIENT CONDUCT

Clients agree to provide a professional and safe working environment.

The Company reserves the right to immediately remove staff from any event involving:

  • Harassment
  • Abuse
  • Discrimination
  • Unsafe conditions
  • Illegal activities
  • Threatening behavior

No refund shall be provided in such circumstances.

  1. HEALTH AND SAFETY

Clients are responsible for:

  • Venue compliance
  • Safety procedures
  • Emergency protocols
  • Event permits
  • Insurance requirements

The Company may refuse deployment where health and safety risks exist.

  1. FORCE MAJEURE

The Company shall not be liable for delays or failures caused by circumstances beyond reasonable control, including:

  • Natural disasters
  • Government restrictions
  • Pandemics
  • Venue closures
  • Transportation disruptions
  • Utility failures
  • Labor disputes
  • Acts of terrorism
  • Civil unrest
  1. LIMITATION OF LIABILITY

To the fullest extent permitted by law:

The Company shall not be liable for:

  • Indirect damages
  • Consequential damages
  • Loss of revenue
  • Loss of profits
  • Business interruption
  • Reputational damage

The Company’s total liability shall not exceed the amount paid by the client for the affected services.

  1. INDEMNIFICATION

The client agrees to indemnify and hold harmless the Company, its directors, employees, contractors, agents, and affiliates from claims arising from:

  • Client negligence
  • Venue conditions
  • Violation of laws
  • Misuse of services
  • Breach of these Terms
  1. WEBSITE USE

Users may not:

  • Attempt unauthorized access to systems
  • Upload malicious software
  • Interfere with website functionality
  • Use the website for unlawful purposes
  • Collect personal information without consent.

Violations may result in termination of access.

  1. PRIVACY

Personal information is handled in accordance with our Privacy Policy.

By using our website and services, you consent to our collection and processing of information as described therein.

  1. TERMINATION

The Company may terminate services immediately if:

  • Payment obligations are not met;
  • These Terms are violated;
  • Fraudulent activity is suspected;
  • Safety concerns arise.

Termination does not affect any accrued payment obligations.

  1. GOVERNING LAW

These Terms shall be governed by the laws of the United Arab Emirates.

Any disputes shall be subject to the exclusive jurisdiction of the courts of the United Arab Emirates.

  1. CHANGES TO THESE TERMS

We may modify these Terms at any time.

Updated versions will be posted on our website with a revised effective date.

Continued use of our services constitutes acceptance of any revised Terms.
